External Reference Settings

What would be the prefered settings for external references to allow the smoothest operation for sharing files with 4 other engineers. I know that PDM is the way to go but it is taking some time to get it in here, so until then we have to make do with what we have right now. Any help would greatly be appreciated.

write a macro that automatically saves only thr parts owned by the user
