Re-numbering Balloon Labels

I am making a drawing of an assembly with 20 parts for a product manual. To simplify the drawing for the end user, I wish to identify only 5 components in the excel-based BOM with balloons. These are the wear-and-tear parts that need to be replaced periodically.

In the 'bill of materials properties' dialogue box, I selected 'contents' and checked only the items I want to appear. The BOM is then displayed with my 5 items.

In the BOM, the item numbers (and balloon numbers) are listed as: 1, 5, 11, 17, and 18. Management has requested the numbers show: 1,2,3,4,5 instead.

Is there a way I can 're-number' the item labels? I know I can manually change the balloon labels, but what about the BOM?

Just double-click on the balloon number on the BOM and change it. The balloons will update.

My BOM is excel based. When I change the item humber in the BOM, the balloon doesn't auto-update for me. Also, when I CTRL+Q, the original numbers reappear. I was looking for a more permanent solution. Thank you for the suggestion though. I might just use that for the time being.

Sorry, I missed the part in your OP about Excel-based. It's been a while since I messed with those!

handlemans suggestion works on SW07. It is not affected by a Ctrl+Q. What version are you using?

An alternative might be to re-arrange the components in the FM tree to the 1 to 5 positions ... if possible.

I'm still using SW2006. Just another reason to convince IT to actually open the '07 box that has been collecting dust on the shelf. Thanks.

If it is not trouble for you I would suggest using the SolidWorks BOM. We have found that it easier to control.

I know this is in 2007, I can't remember if this option was available in 2006, but I'll post anyway.

Click on the balloon. Under "Balloon Text" Pick "TEXT" from the drop down. You can then input any text you require.

I do agree with the previous posters. Solidworks BOM is much easier to control.

Thanks for the complement. I was wondering if anyone else knew that the SolidWorks BOM is better way to go. We were constantly reprinting Excel base BOM’s because someone forgot to double click the BOM when a part or quantity changed. We use equations in our BOM’s.

We've found that the SolidWorks BOM's are infinitely easier to use because they can auto upate and auto sort, not to mention that you can control what you want in the BOM from both the table and from the part properties. They take a little getting used to, but once you learn their little quirks I think you'll find that you're happier with them.

It's very easy to renumber the balloons and table at the same time with SW BOM's.
