i am installing an air con system into a room thats 10 x 6m wide. The maximum occupancy will be 80 people seated work. Is there a need to have a 20kW cooling load as this is max occupancy only maybe for once or twice a month.

Total human load comes out to be about 7kw (or 2TR). You can go with a 2TR standby unit. You can keep it off in normal cases and can start it twice in a month.

 
I think that the conduction/convection/radiation heat gains as well as the thermal capacitance of the room should also be taken into account.

I agree with EddyC - there are a number of additional factors to consider such as site and construction. "into a room thats 10 x 6m wide" covers a big range.

EddyC, what you said is perfectly right. My idea is to design the entire system without considering the human load and running it daily. The standby 2TR unit will only run during the conditions of human load.
